Motion

The following motion is put before the members:

“The Executive Committee, acting on behalf of The Club, has approval from the membership to expend up to £260,000 (inclusive of £43,000 insurance settlement) to resurface the outdoor courts with an artificial clay court surface.”



Project Summary

Following the flood event of 17 January 2023, the outdoor synthetic grass courts cannot be used for tennis. Given the age (27 years) and prior condition of the courts, the most appropriate course of action is to replace the surface.


The Executive Committee has researched options for renewing the outdoor, synthetic grass courts, including alternative surfaces and competitive quotes from contractors. The following is the proposed scope of work for this project:

  • Employ a specialist Tennis Court Contractor to provide a turnkey solution coordination of all works and trades for the provision of 4no. new all-weather, artificial clay tennis courts

  • Enhance drainage of the existing ‘emerald’ surface by piercing and infill with shingle

  • Provide new macadam layer to provide level surface and improve drainage

  • Provide new high quality artificial clay court surface including carpet and infill (sand)

  • New netpost sockets and centre anchors

  • New netposts and scoreboards

  • New tennis court fencing, 2.7metres all round

  • Provide maintenance equipment

Stripout works will be completed separately to the new court installation.


Funding for the courts will be from the Club’s cash reserves. A £43,000 insurance payment received for the repair of the synthetic grass courts due to flood damage will reduce the net cost of the project.


The preferred contractor has not been decided at this point as further quotations are still outstanding, but are expected to be received prior to the EGM.


Should the membership authorise expenditure, the Committee will work to place an order with the preferred contractor and commence construction as soon as possible. It is planned to have the courts complete and ready for use by end of May 2023.



Voting Options

  • Yes; the committee is authorised to spend up to £260,000 (inclusive of £43,000 insurance settlement) for the provision of new Artificial Clay Courts

  • No; expenditure is not authorised for this project. Outdoor courts will remain unavailable for use


Voting Rules

  • Eligibility; Playing, Social and Veteran Members are eligible to vote at the EGM

  • Quorum; A quorum of 20 members is required for the motion to pass. Should a quorum not be achieved, the motion will be assumed to be ‘No’

  • Proxy Voting; Not allowed

  • In-Person Voting; Eligible members will be recorded at the meeting and voting will be via a show of hands

  • Result; The in-person votes will be tallied at the EGM and the result of the ballot will be announced
